Important Information About SARVΩm Beta

This notice explains what SARVΩm is, how beta access works, and how information may be stored or processed. It is product and data-use information for the SARVΩm beta. It is not legal, tax, accounting, or financial advice.

Please also read the Privacy Policy and Terms of Use. This notice remains the full beta product and data-use information you should read before using SARVΩm. Those pages do not replace this notice.

What SARVΩm is

SARVΩm is a life-admin and pre-accounting workspace. It is designed to help you capture, organise, review, and prepare bills, receipts, documents, reminders, and related records before you or an accountant complete formal accounting or tax work elsewhere.

What SARVΩm is not

  • Not an accounting system of record.
  • Not tax, accounting, legal, financial, or other professional advice.
  • Not a bank, payment provider, or lodgement service.
  • Not a replacement for original invoices, receipts, bank statements, or advice from a qualified professional.

SARVΩm is beta software

SARVΩm is in controlled beta. Features, wording, and workflows may change. Some modules (including Email Auto) may be limited, require a separate request, or need reconnection during testing. You should expect occasional errors, incomplete extraction, and the need to review suggestions before acting.

Not accounting, tax, legal, financial, or professional advice

Information shown in SARVΩm — including amounts, dates, GST, categories, reminders, AI suggestions, and accountant-prep fields — is for organisation and review only. It does not replace professional advice. Do not rely on SARVΩm as your only check before paying, lodging, or making financial or legal decisions.

You remain responsible for checking important information

You remain responsible for checking dates, amounts, payees, GST, documents, and other important details against original records before you rely on them. SARVΩm may misread, omit, or mis-file information.

Keep original and source records

Keep original or source records where you are required to, or where you need them for tax, accounting, warranty, or legal purposes. Uploading a copy into SARVΩm does not replace your record-keeping obligations.

Where information is stored

Account details, app records, and related metadata are stored in SARVΩm’s hosted application database. Uploaded document files are stored in private cloud storage on Amazon Web Services (AWS). Some features also use other trusted service providers, as described below.

AWS operates under a shared responsibility model. AWS is responsible for the security of the cloud. SARVΩm and its operators are responsible for how the service is configured and used, including access controls and application settings.

Security measures

SARVΩm uses practical controls intended to reduce risk. These include password hashing, HTTPS in production, controlled account access, and private document storage. They do not eliminate all security or data-loss risk.

Sensitive Important Documents may require an extra unlock step. That is an extra access boundary inside the app. It is not end-to-end encryption and not a separate encrypted vault.

Service providers

SARVΩm does not sell personal information. SARVΩm does not use uploaded documents, email-derived records, financial records, journal content, or account information for advertising or marketing.

Trusted service providers may process limited information to operate, host, secure, maintain, and improve the service. That can include cloud hosting, database and file storage, email or authentication infrastructure, and AI providers when you use AI-assisted features. This is not a claim that information never leaves SARVΩm’s own systems.

AI-assisted features and limitations

Some SARVΩm features use AI to help extract, classify, transcribe, or summarise information. Depending on the feature, selected document text, email previews or snippets, attachment extracts, audio, or transcript text may be sent to an AI service for processing.

AI output is a suggestion. It may be wrong, incomplete, or out of date. You must review it before relying on it.

Email Auto

Email Auto is optional. If you request and connect it, SARVΩm uses the Gmail API with read-only access to help find likely bills, receipts, reminders, and similar records.

  • Email Auto does not send emails.
  • Email Auto does not delete emails.
  • Email Auto does not use Gmail content for marketing.
  • It may process supported email information, snippets or previews, attachments, and extracted information to suggest items for your review.
  • During beta, Gmail connection may require reconnection or testing approval. Access may be limited to approved testers.

Important Documents

Important Documents is for records you want to keep in SARVΩm, including items marked sensitive. Files are stored with other uploaded documents in private AWS storage. The extra unlock step for sensitive items is an access control in the app, not a separate encrypted vault.

Audio Journal

Audio Journal is different from the document vault. Depending on the device and browser, some journal audio or text may stay local or be browser-dependent. If you use AI transcription or summarisation, audio or transcript text may be sent to an AI service. Do not treat Journal as a guaranteed long-term archive of original recordings.

Accountant Preparation Workspace

Accountant Preparation Workspace (APW) is a preparation workspace. It is not a final accounting system and not professional advice. If you grant access, a collaborator or accountant may see scoped records you share for preparation. You remain responsible for what you share and for checking the pack before it is used outside SARVΩm.

Beta limitations

  • Features may be incomplete, change, or be temporarily unavailable.
  • Extraction, matching, and AI suggestions can be wrong.
  • Some modules may need extra approval during beta.
  • SARVΩm does not guarantee that no data will be lost or that no security incident can occur.

Your responsibilities

  • Review important information before paying, lodging, or relying on it.
  • Keep original source records where required.
  • Use a strong unique password and keep your sign-in details private.
  • Only grant collaborator or accountant access to people you trust.
  • Provide genuine, constructive feedback if you agree to do so during beta.
